Office Administrator - NSW
About the role:
Handle day-to-day office operations, streamline administration procedures and support the Performance Brands Divisional CEO to ensure the smooth running of the Waterloo office.
Champion all things office administration and experience-related for our team, drive team engagement and ensure the Accent Group offices are a place people want to come and work!
Your key responsibilities will include:
Oversee day to day operations of the Accent Sydney offices including:
- Be the first point of contact for all team enquiries relating to the office
- Liaise and direct cleaners ensuring Covid health and safety standards are being met
- Coordinate and manage all external contractors (in conjunction with the Property team) to ensure offices are safe and well maintained
- Coordinating in-house Events – catering/room bookings and on-site assistance
- Managing meeting room bookings for both internal team and external guests
- Managing Desk allocations including hot desks for internal or external guests
- Relieve reception and administration duties including courier bookings, coordination of mail, deliveries, filing and managing registers
- Ordering of consumables and management of budget expenses aligned with this
- Work with internal IT department to ensure smooth and efficient use of ZOOM rooms for all meetings
- Assist with travel bookings and travel profile creation for team and Executive Team
- Manage Carpark allocation and communication
- Assist with Board and Executive events
- Lead the WHS team (including first aid and fire wardens) in conjunction with the Loss Prevention and Safety team (Melbourne based)
- Lead the Sydney office events calendar in conjunction with Culture and Events Manager (Melbourne based)
- Take an active role in all committees including STAMP YOUR FEET charity and seasonal events
- Managing the fobs and alarm system for team in conjunction with the Loss prevention team
- Induction and office tours for new staff
- Coordination of communication to all Sydney Based Accent team
- Support receptionist to maintain common areas including meeting rooms, kitchens and lunchrooms during working hours
- Maintain office maintenance – organise light replacements, gutter and window cleans.
